
On Administrative Professionals Day, we celebrate Jill Schwanz, Administrative Assistant to the Superintendent, who has provided a welcoming and helpful presence in the District for 22 years.
Jill began working at Anthony Wayne Local Schools on what she calls a “very, very part-time basis” as an afternoon receptionist in the former board office. She saw the position as a way to work while aligning her schedule with her children’s school and activities.
“I was a stay-at-home mom who spent a lot of time volunteering at Waterville and I felt like I was already at school more than anywhere else as a volunteer," Jill recalled. "I had an Executive Secretarial Science degree, and wanted to be on the same schedule as my kids, so it was a good fit."
Over time, her role expanded and in 2009, she became the assistant superintendent's secretary before ultimately transitioning into her current position.
A Day in the Life
While she does help manage the superintendent’s calendar, Jill’s role extends well beyond appointment reminders. She also supports the human resources director by posting employment openings, scheduling interviews and helping new hires complete their background checks and paperwork. She is also responsible for managing compliance documentation and licensure for all employees. Jill prepares the AWLS Board of Education meeting agendas and minutes, and serves as a key contact for employees and community members who have questions about the District. She’s always willing to offer a helping hand wherever needed.
"I’m all about teamwork,” she said. “If there’s something that needs to be done, I just do it—I’m here to help."
Aptitude and Adaptability
Jill finds that staying organized and an attention to detail are key to managing so much information. She uses a combination of paper notebooks, digital calendars and a mental catalog of district information to provide the best possible service to her colleagues and the community.
"Being a part of the district and community for a long time helps a lot. “I know which staff members or outside contacts to call for information that I need," she said. “And I think it’s important to just be aware of what is going on in the schools and community so I can be a resource.”
One of the biggest changes Jill has seen in her role is the increasing use of technology. While she acknowledges that it hasn’t always come easily, her determination and willingness to adapt has allowed her to embrace the changes and learn how to integrate technology into her role.
“A lot has changed in the way we use technology, and while I’m still not as good as some at using it, I have learned what I need to know and can figure out what I need to do,” she said. “I try to be a resource for Kevin (Herman) when he has technology questions that come up.”
Jill has also remained adaptable to the different needs and styles of the various superintendents and assistant superintendents she has worked with over the years. She said one of the most rewarding aspects of her role is ensuring they have the support necessary to succeed.
"Getting to know how they like to do things and how I can best support them is important to me," she said. “It’s satisfying to be prepared and be able to anticipate what Kevin will need and have the answer ready before he even needs to ask.”
While she’s not leaving the district just yet, Jill is starting to think about retirement. She is looking forward to spending more time with her husband and family, including her four (soon-to-be five) grandchildren, traveling, and enjoying their condo in northern Michigan.
"It’s time. I have to give myself permission to set aside all of the work and do other things," she said. “I may decide to volunteer in the district, but I’m looking forward to traveling without having to worry about being back to work on Monday.”
A Positive Impact
As one of the first people that new employees meet, and staff and community members call when they have a question, Jill's warm and welcoming personality has made a significant impact on the school district. She strives to create positive experiences for everyone she interacts with, believing that a friendly and joyful demeanor can make all the difference.
"No one wants to visit a grumpy person. I want to ensure every interaction is the best it can be," she said. "If I do have a bad day, I’m kicking myself for being less than joyful."
Her commitment to being a strong advocate for the district and community has left a lasting impression on both staff and families.
